How Selenity innovated expenses technology

Selenity’s ability to cut time and complexity when dealing with driver expenses saw it win the Technology Award at The Rewards 2019.

In this Best Practice Case Study, we discover why the solution has been praised by payrollers.

Cloud-based technology provider Selenity offers an expenses solution covering the entire process of claims management between an organisation and its employees. It takes the whole process of recording, submitting, approving and paying expenses and turns it into a digital one.

Online or with the mobile app, employees can scan receipts using OCR technology to automatically populate their expense claims and capture mileage with GPS accuracy.

The immediate cost savings to those using the solution is typically around a 20 percent reduction in expenses spend and 80 percent in processing.

Due to the configurability of the system, extracting and reporting data allows organisations to identify spending trends and make changes to reduce costs further, such as:

• Partnering with travel companies to negotiate discounts on hotel rates for overnight stays;

• Implementing shuttle buses between frequently visited sites;

• Investing in teleconferencing facilities between sites with high internal meetings to negate the need to travel for in-person meetings.

The solution also ensures compliance at every stage of the process, from looking after the complexities of tax, VAT, HMRC regulations and legislation, to a company’s own policy which can be configured during implementation.

However, the element that swung the win for Selenity was the introduction of its driver compliance pack. This offering, integrated with its existing expenses solution, provides automatic checks with data sourced from the DVLA and DVSA.

It provides a way to manage the collection of driver and vehicle documentation, as well as alleviate finance teams with automated driving licence, vehicle tax, and MOT checking, along with specialist insurance validation services.

Organisations can ensure full compliance with business travel duty of care obligations, restricting the payment of mileage claims until records are in place.

The solution also utilises route and mileage software which delivers accurate mileage calculations and real-time mileage validation.
