Your space only stand/package:
- You will have a table top stand space of 3mx2m (unless a larger space has been agreed) with a clothed table and 2 chairs
- Please note the venue has low ceilings, it is a maximum of 2m.
- If you exceed the agreed space, you will incur additional charges, so if you require more space, contact sales@reward-strategy.com
- If you do not wish to have a clothed table and/or chairs on your stand, email events@reward-strategy.com
- If you require access to a socket, email events@reward-strategy.com but note you will need to bring an extension lead to plug into the outlet
- The passes included in your package will entitle you to welcome coffee, morning coffee break, lunch and afternoon coffee break all served in the exhibition hall. Additional passes will have an additional fee, so if you require any, contact sales@reward-strategy.com Please ensure all passes are assigned by Thursday 25 May by logging into your account here.
Badge Collection
When you arrive at the Leonardo Royal Hotel London St Paul’s, please proceed downstairs to the registration area.
Please remember to assign your attendees to your order so we have all the correct names and details to assign to your badges by Thursday 25 May. If you need any assistance, please contact Luisa Corricelli
Delivery information
Please ensure you inform the Rewards Strategy events team what you are sending to the event and how many boxes are to be expected. We are endeavouring to implement more sustainable initiatives across our events so please bear this in mind when sending marketing collateral for your stand. For further information or assistance with this please don’t hesitate to reach out to events@reward-strategy.com.
Delivery of equipment will be accepted a maximum of one day prior to the event, on Wednesday 14 June.
All deliveries will be accepted by the concierge at reception.
All items must be clearly labelled with the NAME & DATE of the event. The name of the event contact at the Leonardo Royal Hotel St Paul’s should also be on there.
- If you would like to deliver your exhibition stand and/or collateral to the venue ahead of the set-up time, please ensure they arrive no earlier one day prior to the event day (the venue will not accept your items if they arrive earlier).
- All goods need to have an official event label fully completed and attached to each parcel that is to be delivered to the venue.
- Please ensure you have the details of the person dealing with your delivery in case of any issue.
- Deliveries will only be accepted via the concierge in reception.
Security
General security will be provided by the Leonardo Royal Hotel London St Paul’s, however, they will not be responsible for exhibitor’s equipment and or materials if lost or damaged.
If you have any issues regarding deliveries or items for use on your stand, please contact the Event Manager – you can find details at the bottom of the page.
Rubbish
Exhibitors are responsible for the clearance of their own rubbish and other waste materials from the building both during and at the close of the event.

FIRE INSTRUCTIONS
If you discover a fire
- Immediately operate the nearest fire alarm call point
2. Try to put out the fire if possible with the appliances provided but without taking personal risks
On hearing the fire alarm
1. The alarm will sound for a short time and then go off. If it does not sound again, it was a practice or a false alarm.
2. If the alarm sounds again and remains on, then evacuate as quickly and calmly as possible through the nearest fire exit.
3. The duty manager or receptionist will call the fire brigade immediately.
4. All persons who leave the building should report to the conference organizer for the day. This person should then inform the manager in charge at the assembly point that everyone is present.
5. The assembly point is: Godliman Street.
6. The manager or deputy will take charge of any evacuation and ensure that no-one is left in the building.

• _Use the nearest available exit
• _Do NOT use the lift
• _Do NOT stop to collect personal belongings
• _Do NOT re-enter the building until you are told it is safe to do so
Insurance
Exhibitors are liable for the safety and security of their own property. Exhibitors must arrange their own insurance against these contingencies and public liability. While every reasonable precaution is taken, the organisers expressly decline responsibility for any loss or damage which may befall the person or property of the exhibitor from any cause whatsoever. We therefore recommend you take out an insurance policy for the event.
Marketing your presence at the event
We are delighted that you are exhibiting at the Payroll & Reward Conference 2023.
As exhibitors, you want to ensure that the delegates visit your stand over and above those of your competitors. To do this, you need to start spreading the word that your company is exhibiting. We have provided you with many ways on how to do this below.
Artwork
Spread the word that you’re exhibiting by using the branded artwork on social media, on your website and email signature.
Make sure you link your exhibitor logo to the website, this way they can view your profile too!
